Meetings, alternatives

Otter alternatives for client-facing professionals in Australia

Otter is a capable general transcriber that joins calls with a bot or records without one. If your meetings are with clients, and what matters is what you owe them afterwards, these four are worth a trial. We make one of them and, in our view, it ranks first for this work. Every entry says where another tool does better.

ReviewedLast reviewed 15 October 2026. Tools checked 15 October 2026

How we ranked them. The ranking is our view, made for client work in Australia: what happens before and after the meeting, whether there is a client record behind the notes, and where client data is held. That ranking suits advisers, brokers, accountants and consultants. For a general notetaker on internal calls, the order would differ.

The list

4 tools, ranked for client work

  1. 1

    Briefi Meetings

    Ours

Best for Advisers, brokers, accountants and consultants who meet clients on calls and across a table, and want a brief before the meeting, a follow-up after it and a client record behind both.B1

    Where it falls short

A narrower product than the large general notetakers. It pushes to GoHighLevel, HubSpot, Monday, Pipedrive, Close, Copper and ActiveCampaign, not Salesforce. Written output such as recaps is in English only. The client portal is on the Advisor plans.B1B2B3

  2. 2

    Fireflies

Best for Teams that want a bot to join calendar meetings automatically and send the notes into a range of other tools.4

    Beats Briefi on

Reach and price point. It joins meetings automatically, can record Google Meet without a bot through a Chrome extension, offers dialers and uploads, and shows low per-seat prices on its pricing page on 15 October 2026 (a free tier, then paid plans from $10 a month per seat billed annually, or $18 billed monthly, currency not named).46

    For client work

The pages we read do not describe a brief before the meeting, and they show no client record, signing or portal behind the transcript. Its security page names no storage regions. Private storage at a location you choose is an Enterprise feature. The prices are as shown on its pricing page on 15 October 2026, so check the plan page before you buy.456

  3. 3

    Fathom

Best for Individuals who want a free notetaker with unlimited recordings and transcripts, with a bot or without one. Superhuman’s acquisition of Fathom was announced on 14 September 2026.7810

    Beats Briefi on

Price for one person. Its free plan includes unlimited recordings and transcripts, which Briefi does not match: Briefi has a free trial, then paid plans. It can also capture without a bot on Mac.87

    For client work

Its help centre says all Fathom data is stored in the United States, and that it holds SOC 2 but not ISO 27001. The pages we read do not describe a brief before the meeting or any client record, signing or portal.97

  4. 4

    Jump

Best for Financial advisers. Jump describes itself as an AI platform built for financial services, with an auto-generated meeting brief, follow-up emails, and links to adviser CRMs such as Redtail, Wealthbox and Practifi.11

    Beats Briefi on

Adviser-specific depth. It adds intake forms and document intelligence in a paid Onboard add-on, and connects to more than the CRMs Briefi pushes to, including Salesforce Financial Services Cloud.1112

    For client work

Its core meeting plan is priced per adviser each month, with add-ons costing extra. Its pages name US adviser tools such as Redtail and Wealthbox, and name no Australian hosting or Australian planning software that we could find, so confirm both with them. We found no e-signature or client portal on the pages we read.121311

Choosing

Choose one if

One line each. If two fit, trial both on the same week of meetings.

Briefi Meetings
your meetings are with clients, some of them across a table, and the follow-up, the action list and the client file all need to end up in one place.
Fireflies
you want a notetaker that joins everything and feeds many other tools, and the notes are not the start of a client file.
Fathom
you work alone, mostly on video calls, and want to pay nothing to start.
Jump
you are a financial adviser whose CRM it connects to, and you have confirmed where it holds your clients’ data.

Questions

Switching from Otter

Is Briefi a straight Otter replacement?

For client meetings, often yes, and it does more around them: a brief before you meet, then a recap and a follow-up draft. If you mostly transcribe internal calls or lectures, a general transcriber, including Otter, may suit you better.

Which of these work for a meeting across a table?

Briefi has a face-to-face recorder and records in the browser. Otter says it records without a bot through desktop, Chrome and mobile apps, and Fathom and Fireflies describe bot-free options for video calls. We did not find an in-person recording feature described for the others, so ask before relying on it.

Which of these keep client data in Australia?

Briefi stores client data in Sydney. Some processing, such as drafting and transcription, uses providers overseas, listed on the Security page. We found no Australian region named by Otter, Fireflies or Jump, and Fathom says its data is stored in the United States. Check each vendor before you sign up.

Do I need to tell clients I am recording?

We recommend it. A notetaker that joins a call is visible to everyone on it, and an in-room recorder should be introduced out loud. Telling people, and getting consent where the law requires it, stays with you.
