Briefi for recruiters

Every intake and every interview, written up before the next call.

For recruitment agencies and executive search. Briefi prepares you for hiring intakes and candidate screens, writes up each meeting with who owns every action, drafts the follow-up for you to check, and gets your terms of business signed.

How a placement moves

From the intake call to the signed terms, on one record.

  1. BriefBefore you meet: who they are, what you last discussed, and what to ask.
  2. MeetingCaptured and transcribed, or written up from the notes you dictate.
  3. RecapDecisions and actions with an owner, and a follow-up drafted for you to check.
  4. FormYour own form goes out: terms of business, or a request for the documents you need.
  5. Signed and filedThe client signs. The signed copy is filed to their record.
The meetings you run

Three kinds of meeting that carry a placement, and what comes after each.

Every meeting gets a brief before and a recap after: decisions, actions with an owner, and a follow-up drafted for you to check and send. Ready-made question guides cover the hiring intake and the candidate screen.

Sample data, drawn. Names are fictional.

MeetingBeforeAfter
Hiring intakeA new role from a client
BeforeA guide for the call with the hiring manager: new role or backfill, where it sits, what success looks like at six months, and what has been tried.
AfterThe recap holds the requirements as the client stated them, and a follow-up is drafted for you to check and send.
Candidate screenFirst conversation with a candidate
BeforeA guide for a technical candidate screen: their story, why they are open to moving now, and technical fit.
AfterThe recap keeps what the candidate evidenced apart from what they claimed, and keeps the role’s requirements apart from your impressions.
Interview debriefAfter a client or panel interview
BeforeThe interview outcome panel on the meeting: a verdict of move forward, hold or reject.
AfterFour signals scored 1 to 5 (technical depth, communication, culture add, motivation fit), concerns, the next stage and a recommended panel, kept with the meeting.
Quarterly client check-inEvery three months, from 21 days before
BeforeA recruitment workspace comes with a quarterly check-in rhythm already set up.
AfterThe review is counted from the last one, so a quiet client does not fall off the list.

Plenty of an agency’s meetings involve no candidate: clients, suppliers and your own team. Candidate handling applies only where a meeting is about a candidate.

Forms, documents and signing

Your terms of business, signed. The documents you need, collected.

There is no ready-made recruiter pack, so you build the form once from your own wording and send it as often as you like. Forms open in a phone browser with no app to install.

  1. Your terms of business

Attach your terms as a PDF, add a signature, and send it as a form.

Sample data, drawn. Your wording and your fee terms are yours; Briefi supplies none.

  2. The documents you need

Ask the client for exactly the files you need. Your team accepts or waives each one.

    Sample data, drawn.

  3. Each signer signs

A second signer, such as a finance director, signs for themselves.

Sample data, drawn. Names are fictional.

Handling candidate and client records

What the record holds, and what it leaves out.

What we can state plainly, because it is true of every workspace today.

  • Your workspace’s own key. Briefs, recaps, transcripts and your notes are encrypted with it.
  • Stored in Sydney, with outside services listed. The database and uploaded files are in Sydney. Drafting, transcription and email use outside services, some overseas, and each is on the sub-processors page with what it receives. Briefi does not train models on your content.
  • Recordings kept only as long as you choose. The audio is deleted after the retention period you set, from one to 90 days. The transcript stays.
  • A candidate is not counted as a client. Where a workspace records a candidate, the record keeps the role apart from the employer who pays, and a candidate does not count toward a plan’s client allowance.
  • Nothing guessed. A verdict, a signal score or a next stage is on the record because a person on your team put it there.

Briefi keeps the record of what was said and what was agreed. Telling a candidate they are being recorded, and your obligations under privacy and employment law, stay with you.

Questions

What recruiters ask first.

Does Briefi connect to our applicant tracking system?

No. Briefi does not connect to applicant tracking systems or job boards. It can send a meeting to a CRM, and the recap is the record of what was said and agreed.

Does it keep a register of candidates, vacancies or placement fees?

Not yet. A recruitment workspace has no candidate, vacancy or fee register, and no shortlist or pipeline view built around a vacancy. What it does hold is the meeting: the brief, the recap, the actions with an owner and the outcome of an interview.

What does Briefi do with a candidate screen?

It writes up the call with a guide for the screen beforehand. The recap separates what the candidate evidenced from what they claimed, and keeps the role’s requirements apart from your impressions. It does not score or rank a candidate for you.

What does the interview outcome record?

A verdict of move forward, hold or reject, four signals scored 1 to 5 (technical depth, communication, culture add, motivation fit), concerns, the next stage and a recommended panel. Your team fills it in.

Is there a ready-made terms-of-business form?

No. There is no recruitment form pack today. You attach your own terms as a PDF to a form, add a signature, and send it. Joint signers each sign for themselves, and the signed copy is filed to the record.

Do I need a candidate’s agreement to record?

Recording consent is yours to get. Whether you need it, and how to ask, depends on the law where you and the candidate are, so tell the candidate before the call starts and get their agreement where the law needs it. Do not assume that anything in Briefi has told them for you.

Does it check a candidate’s identity or right to work?

Not yet. Identity checks are coming soon. Today you can ask for documents in a document request, and a person on your team accepts each one.

Can researchers and coordinators use it?

Yes. Advisor Solo includes one free support seat, and Advisor Practice includes one for each paid seat, four to start.

Does it work outside Australia?

Yes for meetings, recaps, forms and signing. Transcription detects the language spoken. Recaps, forms and signed documents are written in English.
