Briefi for insurance brokers

Every policy you have placed, and the day each one renews.

For insurance brokers. Briefi prepares and writes up your client meetings, keeps a register of every policy and claim a household or business holds, lays out the work for the six weeks before a renewal, and gets the Financial Services Guide and remuneration consent signed.

How a client file moves

From the first call to cover recorded, on one record.

  1. BriefBefore you meet: the policies on record, and any renewal coming up.
  2. MeetingCaptured and transcribed, or written up from the notes you dictate.
  3. RecapDecisions and actions with an owner, and a follow-up drafted for you to check.
  4. FormThe next step goes out: a fact-find, a document request or a renewal check-in.
  5. Signed and filedEach insured signs. The signed copy is filed to the household or business.
The meetings you run

Four kinds of client meeting, and what comes after each.

Every meeting gets a brief before and a recap after: decisions, actions with an owner, and a follow-up drafted for you to check and send, filed to the client. What differs is the next step.

Sample data, drawn. Names are fictional.

MeetingBeforeAfter
Discovery meetingNew client journey
BeforeThe Financial Services Guide is acknowledged and the fact-find is back before you meet.
AfterNext on the journey: approach insurers for quotes, due within 3 days.
Presenting the optionsOnce terms are back
BeforeThe terms you recorded from each insurer, and what the client said mattered.
AfterConsent to your commission and broker fee goes out to sign, due within 10 days.
Renewal options14 days before it renews
BeforeWhat the client told the renewal check-in, and any remarketing you did.
AfterTheir instruction to renew is due 7 days before, and the renewal is recorded on the policy.
Annual reviewYearly, from 60 days before
BeforeAn optional check-in goes to the client 21 days ahead, with every policy and open claim on one record.
AfterUpdate the policies and cover notes within 7 days. The next review is counted from this one.

Plenty of a broker’s meetings are with insurers, suppliers or your own staff. The brief names policies and renewal dates only when the meeting is about a client’s cover.

The policy and claims registers

One household. Every policy it holds, and any claim against one.

The household or business is who you look after. Each policy inside it has its own insurer, status and renewal date, and a claim hangs off the policy it is made on, so the record keeps all three.

  • Every policy, topline. Insurer, policy number, cover type, sum insured, benefit detail, who owns it, the premium and how often it is paid, the renewal date, and a status of in force, pending, lapsed, cancelled or unknown.
  • Never a bare status. “In force” always comes with the date somebody last confirmed it, and one nobody has confirmed for 12 months reads as stale, whatever it says.
  • A passed renewal date is flagged, not rolled forward. Nobody can tell from the register whether it renewed, lapsed or moved insurer, so a date that goes by with nobody updating the policy shows the record as out of date.
  • A claim with someone always owing the next step. Each claim sits on one policy, with a dated line for every change and who is waiting on whom: you, the client or the insurer. One the insurer owes and you have not heard on for your chase interval shows as quiet.
  • Joint cover belongs to the household. Both partners see a joint policy. A policy held by one person stays on that person’s own record.
  • Brought in from your system. Map a file’s columns, preview the result and import up to 2,000 policies at a time. Cover a client lists on their fact-find can be added as a policy marked unknown, until your team confirms it.
What Briefi cannot see

An insurer, or the system your policies are administered in. Cover bound, a renewal accepted, a claim lodged or decided are what your team records, and a journey step waiting on an insurer says so. The insurer’s schedule stays the authority on what is covered.

JourneyPolicy renewal · Okoye household home and contents

Six weeks of work in front of a renewal, laid out from the date back.

  • Dated from 42 days out, for each policy with a renewal date. Open the client’s record inside that window and the journey is already laid out.
  • Each step says whose move it is: yours, the client’s, a form, a meeting or the renewal recorded on the policy.
  • Journeys for the broking year: a new business client from the introduction to cover in place, the renewal, the annual review, and a claim from first notice to closed.
The broker’s year

One household’s year, read off the register.

Every date the register holds for the Okoye household from July to June, beside the meetings you hold with them.

Sample data, drawn. The renewal journey is dated from 42 days before the date on the policy; the annual review is counted from the last one.

Forms, documents and signing

The Financial Services Guide and consents first. Then the documents, then the signatures.

Forms open in a phone browser with no app to install, and each insured signs for themselves.

  1. Getting started with your insurance

Financial Services Guide, duties and remuneration consent, in one link.

  2. Claim and renewal documents

Your team accepts or waives every file asked for.

  3. Each insured signs

A second insured signs for themselves.

  4. A portal for the client

Clients see their policies and claims, and upload what you ask for.

Sample data, drawn. A client can tell you about a new claim from the portal. Claim amounts show only when you choose to show them.

Who is holding up the file

See which clients answer, and how fast.

Insight counts how quickly clients return what you send them, from forms actually sent and returned. Every figure has rows behind it.

  • What is waiting on the client, and what you owe them, counted on every record.
  • Support staff on free seats on Advisor Solo and Advisor Practice, so an account manager or assistant can chase documents without a paid seat.
  • Reminders by text as well as email, for a form, a document or a signature still owed, sent from a shared number with your firm’s name at the start. From 25 texts a month on the Advisor plans.
Insight card, Do they answer us: forms typically come back in under a day, 90 percent answered, 9 of 10 over six months.

Handling client policy records

What the record holds, and what it leaves out.

What we can state plainly, because it is true of every workspace today.

  • Your notes stay yours. Notes on a policy never reach the client portal or the API. Claim amounts and the insurer’s claim number reach a client only when you choose to show them.
  • Joint and personal kept apart. A joint policy shows to both partners. One held by a single person is not shown to the other.
  • Your workspace’s own key. Briefs, recaps, transcripts and your notes on each policy are encrypted with it.
  • Nothing guessed from an insurer. A policy bound, a renewal accepted or a claim decided is on the record because a person on your team put it there, with the date.

Briefi keeps the record of what each client holds, and what is coming up. The advice, the Financial Services Guide and warnings, the duties wording and your obligations under your licence stay with you.

Questions

What brokers ask first.

Does Briefi connect to insurers or our broking platform?

No. Briefi cannot see an insurer, or the system your policies are administered in. Your team records each policy, its status and its dates, and every status shows the date somebody last confirmed it. A journey step that waits on an insurer says so. You can import a file of policies, and cover a client lists on their fact-find can be added to the register as unknown until you confirm it.

Which forms come ready to send?

Two are written for an insurance broker, and yours to copy and change. Getting started with your insurance: the Financial Services Guide, the important information about the client’s duties, and consent to how you are paid in one link, with a second insured signing where there is one. Your licensee’s Financial Services Guide, duties wording and remuneration wording are yours to add, and each document shows “not yet set” until you do. The insurance fact-find: the client’s details, work, income, existing cover and any debts they would want cleared. Renewal conversation and quarterly review check-ins are in the library too.

How do document requests work?

Ask the client, or someone acting for them, for exactly the files you need, and ask for a claim’s documents from the claim itself so each one lands on it. Each file is accepted, or marked not needed, by a person on your team.

What happens when a claim goes quiet?

Each claim records who owes the next step. One the insurer owes, which you have not heard on for your chase interval, shows as quiet. You set the interval for your workspace, from 5 to 60 business days, and it starts at 20. Public holidays are not counted, so it is a prompt to chase and never a deadline.

Does it help with the client’s duties and renewal notices?

It keeps the evidence on one record, dated: what the client declared in their answers, what the firm holds on record kept apart from it, the renewal journey and what the client told your check-in. The insurer’s own renewal notice, and the wording of your warnings and duties, stay with you and your licensee. Briefi does not decide what a client is covered for.

When does the renewal work start?

Forty-two days before the renewal date on the policy. Open the client’s record inside that window and the journey is there, with each step dated back from the renewal date, from the “what has changed” form at 35 days to the renewal recorded on the policy. A date that passes with nobody updating the policy shows the record as out of date.

Can it quote, bind cover or track commission?

No. The register is topline on purpose: enough to have the conversation and know when something is due. Quoting, binding and commission accounting stay in the systems you use for them. The consent to your commission and broker fee is signed in Briefi, and you enter the figures.

Does it have a form for a client to ask for a change mid-term?

Not yet. Forms for requests such as adding a vehicle or changing an address are still being built. Today you can build your own in Forms, and a client can tell you about a new claim from the portal.

Does it have a fact-find for commercial risks?

Not yet. The fact-find that comes with the workspace is a client details form. You can copy it and add your own questions for premises, turnover or fleet.

Does it check a client’s identity?

Not yet. Identity checks are coming soon. Today you can ask for ID documents in a document request, and a person on your team accepts each one.

Can account managers and assistants use it?

Yes. Advisor Solo includes one free support seat, and Advisor Practice includes one for each paid seat, four to start.

Does it work outside Australia?

Meetings, recaps, forms, signing and the client portal work anywhere. The insurance forms and warnings are written for Australian brokers today. Versions for other countries are planned.
