Kestrel Accounting is taking on Grace and Ben Harlow, who run Harlow Joinery Pty Ltd. Before they first sit down together, Kestrel needs the couple’s fact-find: who they are, the business, what they own and owe, and a declaration both of them sign. Here is how it goes out, and what comes back.

Pick the form, fill in what you know, choose who signs.

Start from a Briefi form or your own copy of one. The client sees a short form with your wording and your version number, not a blank template.

  • Your wording, your version. Briefi’s fact-finds, engagement letters, entity details and consents are frames: copy one, put in your firm’s wording and set a version before it goes out.
  • Fill in what you already know. Fields marked for the firm, like the company name and ACN or the review date, are filled in when you send, so the client confirms instead of retyping.
  • Two signers, three ways. Each on their own link, together on one device after a code goes to the second signer’s own address, or countersigned by someone in your firm.
  • From your own address. Connect your mailbox and requests go from your firm. Until you do, they go from Briefi under your firm’s name.

SignOn their phones

Grace fills it in and signs. Ben gets a text when it is his turn.

The link opens in the phone’s browser. No app, no account, no password. Grace works through five short sections, confirms the declaration and signs on the screen. Ben’s link goes out once she submits, by email and by text, so he checks and signs a completed fact-find, never a blank one.

  • Reminders by email and text. The second signer is reminded after 3 and 10 days, on the same link. If the second signer has not signed within 30 days, the form lapses and you are told once.
  • Ask for a change instead. A signer can ask for a change, which holds the form open. You amend it and everyone signs again. A decline stops the form.
  • Signing for someone else. Name an attorney and the power they sign under. The form records that your firm saw the document, not that it is valid.

The signed copy files itself, with the evidence on the page.

Nothing is filed until the last signature is in. Then the PDFs go onto the client’s record, and each signer is emailed their own copy.

  • A PDF of the completed fact-find and one of each signed document, under Forms and documents on the client’s record.
  • Evidence under every signature: the signer’s name, email address, date and time, IP address, approximate location and device.
  • Kept as it was signed. Briefi stores a SHA-256 fingerprint of each signed PDF, so a copy can be checked against the original.

Ask for the documents too

The client uploads through a link sent to their own address, opened with a code that goes there too. An upload only arrives: someone at your firm accepts or waives each item. How long the files are kept is stated on the upload page.

Sign is the paperwork without the meetings.

Each workspace has one plan. Sign covers forms, signatures, document requests and texts to clients. It has no meeting capture and writes no briefs or recaps.

Packs never expire and are shared across the workspace. They are used only after the month’s included requests run out. Nothing tops up on its own.

Packs do not lift the daily limit. Each user can still send up to 20 requests a day.

Questions

What people ask first.

Do my clients need an account or an app?

No. They get a link by email, and by text if you turn texts on, and complete the form in their phone’s browser. A document request link asks for a code, which goes to their own address.

Is an electronic signature enough for my documents?

Often, yes: Australia’s Electronic Transactions Acts recognise electronic signatures where the method identifies the signer and shows their intention. Some documents have their own signing rules, such as wills, some deeds, statutory declarations and documents that need a witness, so check what yours require. Briefi does not decide that for you. It records the evidence: who signed, their email address, the date and time, their IP address, an approximate location and their device, printed under each signature.

Can two people sign the same form?

Yes. Each signs on their own link, both sign on one device after a code goes to the second signer, or someone in your firm countersigns. Each signer gets their own evidence on the PDF and their own copy by email.

Who do the texts come from?

For now, a shared number, with your firm’s name at the start of each message. Sign includes 50 texts a month for the workspace, and you choose which jobs use them: requests, reminders or the second signer’s link.

Can Sign check a client’s identity?

Not yet. Identity checks are coming soon. Until they are switched on there is nothing to set up or pay for.

Can I use my own wording?

Yes. Briefi’s forms are starting points. Make your own copy, change the wording and questions, and set a version number. A form already sent keeps the wording it went out with.

Does Sign record meetings?

No. Sign has no meeting capture and writes no briefs, recaps or follow-ups. If you want those as well, Advisor includes everything in Sign plus the meeting tools, and you can move up on the same workspace.
