Briefi for financial advisers

Every ongoing fee you charge, and the day its consent is due.

For financial advice practices. Briefi prepares and writes up your client meetings, keeps a register of every ongoing fee arrangement and the policies you placed, lays out the work for each annual fee consent, and gets the guide, the fee agreement and the consent signed.

How a client file moves

From the first call to the signed copy, on one record.

  1. BriefBefore you meet: the service arrangement, what was recommended and what is outstanding.
  2. MeetingCaptured and transcribed, or written up from the notes you dictate.
  3. RecapDecisions and actions with an owner, and a follow-up drafted for you to check.
  4. FormThe next step goes out: a fact-find, a document request or the fee consent.
  5. Signed and filedEach client signs. The signed copy is filed to the household.
The meetings you run

Four kinds of client meeting, and what comes after each.

Every meeting gets a brief before and a recap after: decisions, actions with an owner, and a follow-up drafted for you to check and send, filed to the household. What differs is the next step.

Sample data, drawn. Names are fictional.

Plenty of an adviser’s meetings are with product providers, your licensee or your own staff. The brief names the service arrangement and what is outstanding only when the meeting is about a client’s advice.

The fee arrangement register

One household. Every ongoing fee, and where its consent stands.

The household is who you look after. Each ongoing fee and each policy inside it has its own status and dates, so the record keeps both.

  • Every ongoing fee. The fee as an amount or how it is worked out, how often it is charged, the services it pays for, whether it comes out of a product, and the reference day each year is counted from.
  • Consent worked out, never typed. Current, open, due or lapsed is read from the reference day and the consents recorded, each time, so it is never true the day it was entered and wrong the day the window closed.
  • A lapse stays a lapse. A year that closed without consent is not quietly revived when a later consent arrives. The arrangement leads the client’s record as “stop the fees”, and your team records what happened.
  • Policies you placed, on the same record. Cover type, sum insured, premium and renewal date, and a status that always carries the date somebody last confirmed it. One nobody has confirmed for 12 months reads as stale, and a renewal date that passed is flagged, not rolled forward.
What Briefi cannot see

Your planning software, platforms and product providers. Whether a fee was charged or deducted, an application was accepted or a policy renewed is what your team records, and a journey step that waits on a provider says so. Briefi does not write the Statement of Advice.

JourneyOngoing fee consent · Marsh household

The year’s consent, laid out from the reference day back.

  • Starts when the window opens, 60 days before the reference day, for every ongoing arrangement whose consent has not come in.
  • Each step says whose move it is: yours, the client’s signature, or the consent recorded on the arrangement, which finishes the step by itself.
  • Journeys for the advice year: a new client from the first conversation to the recommendations in place, the ongoing fee consent, and the annual review.
The adviser’s year

One household’s year, read off the register.

Every date the register holds for the Marsh household from July to June, beside the meetings you hold with them.

Sample data, drawn. The consent window runs from 60 days before the reference day to 150 days after it, and every year is counted from the original reference day.

Forms, documents and signing

The guide and the fee agreement first. Then the fact-find, then the consent.

Forms open in a phone browser with no app to install, and each client signs for themselves.

  2. Statements and schedules

  3. Each client signs

A joint client signs for themselves.

  4. A portal for the household

Clients see their fee arrangement and policies if you switch those on, and upload what you ask for.

Sample data, drawn. Fees and policies appear on the portal only when you switch them on.

Handling client advice records

What the record holds, and what it leaves out.

What we can state plainly, because it is true of every workspace today.

  • No balances or holdings in the registers. The fee register holds the fee, the services and the dates; the policy register holds cover and premium. There is no account balance to fall out of date.
  • Your workspace’s own key. Briefs, recaps, transcripts and your notes on each arrangement and policy are encrypted with it.
  • A consent is a signature or a record. It goes on the arrangement when a client signs the form, or when your team enters one. A consent carried by a signed form cannot be deleted from the register.
  • Nothing guessed from a provider. An accepted application, a deducted fee or a renewed policy is on the record because a person on your team put it there.

Briefi keeps the record of each fee, its consent dates and what was discussed. The advice, your best interests duty and your obligations under your licensee’s rules and the law stay with you.

Questions

What advisers ask first.

Does Briefi connect to our planning software or product providers?

No. Briefi cannot see planning software, platforms or product providers. Your team records each fee arrangement, policy and date, and every policy status shows the date somebody last confirmed it. A journey step that waits on a provider says so.

Which forms come ready to send?

Four, written for advice, and yours to copy and change. Getting started with advice: the Financial Services Guide, privacy statement and advice fee agreement in one link, with a joint client signing too. The personal financial fact-find: goals, income, assets, debts, super and the insurance already held. Authority to proceed: the client confirms they received the Statement of Advice and which recommendations to act on. Ongoing fee consent: the fee, the services and the 12 months it covers. You fill in the advice, the fee and the dates before sending, and the client sees them as read-only. The licensee wording in each, such as the guide and the consent terms, is yours to add: every form carries a plain placeholder for it until you do, and Briefi writes none of it.

How does the annual fee consent work?

Each ongoing arrangement has a reference day. Briefi works out from it, and from the consents recorded, whether consent is current, open, due or lapsed, using a consent window that runs from 60 days before each anniversary to 150 days after. The consent journey starts when the window opens, and the signed form records the consent on the arrangement. Your licensee’s own rules and your own advice on the law come first.

What happens if a consent window closes?

The arrangement shows as lapsed and leads the client’s record as “stop the fees”. A later consent does not revive the year that lapsed: the state stays lapsed and your team records what happened.

Does Briefi write the Statement of Advice?

No. The new client journey has steps for the research, preparing the Statement of Advice, an optional compliance review and presenting it, and your team ticks each one. Briefi sends the authority to proceed once you have presented it and files the signed copy.

Does it help with the best interests duty and record-keeping?

It keeps the evidence on one record, dated: the fact-find answers, the documents provided, what the client said in the meeting, the recap, and the signed forms. The brief keeps the client’s stated objectives apart from your view. Whether advice is in the client’s best interests, and what your record of advice must contain, is your judgement and your licensee’s requirement, not Briefi’s.

Can I bring my clients and policies across?

Policies can be imported from a file, and running it again updates the same rows. Fee arrangements, not yet: today you record each one on the client’s record.

Does it check a client’s identity?

Not yet. Identity checks are coming soon. Today you can ask for identification in a document request, and a person on your team accepts each file.

Can paraplanners and assistants use it?

Yes. Advisor Solo includes one free support seat, and Advisor Practice includes one for each paid seat, four to start.

Can Briefi chase clients by text?

Yes. A form, a document or a signature still owed can be chased by text as well as email, from a shared number with your firm’s name at the start. From 25 texts a month on the Advisor plans.

Does it work outside Australia?

Meetings, recaps, forms, signing and the client portal work anywhere. The consent windows are Australian law, so a workspace outside Australia has none due and the register never tells it to stop charging. The advice forms use Australian terms, such as the Financial Services Guide, so today they are built for Australian advisers. Versions for other countries are planned.
